- WORDPERFECT MAILMERGE

- To pass name and address information from M-TRAC to WORDPERFECT,
- you must first create a file called WPFIL.FIL. To create this file,
- type MAIL at the DOS prompt.

- i.e. C:\M-TRAC30>MAIL
-
- If a member is selected and written to the file WPFIL.FIL, the
- information in the record includes the members name (first, middle
- initial, and last name), address one, address two, city, state, zip
- code, and first name only.

- After the WPFIL.FIL is created, you are ready to use the mailmerge
- feature in WORDPERFECT. At this point I have to assume you are familiar
- with mailmerge (called MERGE in WORDPERFECT).

- To use MERGE, you have to have a primary file and a secondary file.
- The primary file is your letter. The secondary file will be WPFIL.FIL
- (which contains the names and addresses from M-TRAC). Refer to your
- WORDPERFECT manual or the information on the next page for details on
- how to set up your primary file. Listed below are the fields in the
- secondary file and the corresponding information.

- FIELD 1 = MEMBERS NAME (first, middle initial, and last)
- FIELD 2 = ADDRESS ONE
- FIELD 3 = ADDRESS TWO
- FIELD 4 = CITY, STATE, AND ZIP CODE
- FIELD 5 = MEMBERS FIRST NAME i.e Frank
- You might want to use FIELD 5 for example to say
- Dear XXXXX, where XXXXX is Frank or Joe or Mark

- After you have the primary file set up (your letter) and the
- secondary file created (when you ran MAIL), you are ready to print
- the letters. To print the letters, follow the steps below:

- 1) Get into WORDPERFECT
- 2) Press Ctrl-F9 (Merge/Sort) to start the merge operation
- 3) Press 1 or M to choose Merge
- 4) Type the primary file name (your letter) and press ENTER
- 5) Type the secondary file name (WPFIL.FIL) and press ENTER
- 6) Note: Field Delimiters: BEGIN should be blank
- END should be a /
- Record Delimiters: BEGIN should be blank
- END should be a ;
- 7) Wordperfect should begin printing your letters

- To add the NAME to the letter, follow these steps:

- Move cursor to place in letter you want NAME to print
- Press SHIFT/F9 (Merge Codes)
- Select FIELD (1)
- Enter 1 and press ENTER (field 1 = NAME)

- To add the ADDRESS ONE to the letter, follow these steps:

- Move cursor to place in letter you want ADDRESS ONE to
- print
- Press SHIFT/F9 (Merge Codes)
- Select FIELD (1)
- Enter 2 and press ENTER (field 2 = ADDRESS ONE)

- To add the ADDRESS TWO to the letter, follow these steps:

- Move cursor to place in letter you want ADDRESS TWO to
- print
- Press SHIFT/F9 (Merge Codes)
- Select FIELD (1)
- Enter 3 and press ENTER (field 3 = ADDRESS TWO)

- To add the CITY/STATE/ZIP to the letter, follow these steps:

- Move cursor to place in letter you want CITY/STATE/ZIP
- to print
- Press SHIFT/F9 (Merge Codes)
- Select FIELD (1)
- Enter 4 and press ENTER (field 4 = CITY/STATE/ZIP)

- To add the FIRST NAME to the letter, follow these steps:

- Move cursor to place in letter you want FIRST NAME
- to print
- Press SHIFT/F9 (Merge Codes)
- Select FIELD (1)
- Enter 5 and press ENTER (field 5 = FIRST NAME)

- TO PRINT LETTER'S

- To have the letters print when you run the merge, the last line
- in your letter should be: {PRINT}{NEXT RECORD}{NEST PRIMARY}

- Press SHIFT/F9 (Merge Codes)
- Select MORE (6)
- Select PRINT from the list box

- Press SHIFT/F9 (Merge Codes)
- Select MORE (6)
- Select NEXT RECORD from the list box

- Press SHIFT/F9 (Merge Codes)
- Select MORE (6)
- Select NEST PRIMARY from the list box
